Food Traceability Spreadsheet vs. Lot-Tracking Software

Compare spreadsheets and connected lot-tracking software using receiving, production, shipping, corrections, access control, mock recalls, and record-request readiness.

A spreadsheet can track food lots successfully at low complexity. The deciding question is not whether spreadsheets are professional; it is whether the complete trace can remain accurate when several people receive, produce, transfer, ship, correct, and investigate stock at the same time.

What a traceability spreadsheet must represent

Most workable spreadsheets need separate but linked records for suppliers, receipts, materials, supplier lots, internal lots, recipes, production runs, ingredient consumption, finished lots, inventory movements, customers, orders, shipments, holds, and dispositions. Stable identifiers must connect those sheets without relying on names that can be edited.

The workbook also needs validation, protected formulas, controlled access, backups, correction history, and a documented owner. A finished-lot row that contains an ingredient lot but not the actual quantity consumed cannot support reliable quantity reconciliation.

Warning signs that the spreadsheet is breaking down

  • people copy values between separate production and inventory files;
  • the same lot has multiple spellings or date formats;
  • recipe changes overwrite the version used by earlier runs;
  • customer shipment data lives only in another system;
  • only one person understands the formulas;
  • simultaneous editing creates duplicates or missing lines;
  • correcting an error destroys the original entry; or
  • a mock recall requires hours of manual cross-referencing.

What connected software should add

Software should not merely move the spreadsheet into a browser. It should enforce tenant and role boundaries, generate stable records, connect the actual material lots consumed to a finished lot, post inventory movements once, retain recipe revisions, preserve corrections and approvals, and trace forward into fulfilled orders.

Ask a vendor to demonstrate three cases with your data: trace one finished lot backward, trace one supplier lot forward, and reconcile quantities. Also test split lots, partial production, rework, returns, deleted or corrected records, exports, and access by a user who should not see another location.

Choose based on operational risk

Stay with a spreadsheet while one trained owner can keep it current, validate changes, back it up, and pass timed mock recalls. Move when duplicate entry, staff handoffs, batch frequency, locations, wholesale customers, audits, or product risk make that control unreliable. The transition point should be based on evidence from your exercises, not an arbitrary number of batches.
