Bakery Production Schedule Template: Plan Orders, Labor and Oven Capacity
Turn due-date orders into a realistic bakery schedule using batching rules, dependencies, labor skills, mixers, ovens, cooling, decorating, packaging, and buffers.A bakery production schedule translates demand into timed work that can actually fit through people, equipment, cooling space, and delivery deadlines. A list of orders is not yet a production plan.
Start with demand and promise dates
List committed orders, standing wholesale demand, storefront replenishment, event inventory, and an explicitly labeled forecast. Keep committed and speculative demand separate. For each item, record quantity, due time, location, priority, shelf-life constraints, and whether it can be produced early.
Convert product demand into practical batches. Respect mixer minimums and maximums, pan counts, rack and retarder capacity, oven loading, packaging case packs, allergen sequencing, and changeover time. Rounding every item upward can overload the week and create waste, so retain both required and planned quantities.
Model dependencies instead of one duration
A decorated cake can require baking, cooling, filling, chilling, finishing, boxing, and staging. Bread may require preferment, mixing, folds, bulk fermentation, dividing, proofing, baking, cooling, and packing. Record predecessor steps and waiting time so a schedule cannot put decorating before the cake is cool.
Identify the constrained resource at each step. Two tasks may use different employees but still compete for the same mixer or oven. Build cleaning, allergen changeover, maintenance, breaks, receiving, and setup into available capacity rather than treating them as surprises.
Use a daily control rhythm
At the start of the shift, review due work, shortages, held materials, staffing, equipment status, and yesterday’s unfinished tasks. During the day, record actual start and finish times, quantity, yield, and exceptions. At close, move incomplete work deliberately and explain the effect on downstream promises.
Compare planned and actual hours by product family. If oven time is consistently accurate but decorating runs 30% longer, update that standard instead of adding an unexplained blanket buffer.

Template columns
For a spreadsheet starting point, use work-order ID, product, batch quantity, due time, routing step, predecessor, resource, assigned role, planned start/finish, actual start/finish, status, lot, and exception. Freeze the published daily schedule, then record controlled changes rather than silently overwriting the morning plan.
