Give the team one current recipe, set of instructions, package choice, and list of checks. Save old versions instead of replacing them. When production begins, the batch record should keep the version used that day so later edits do not change the past.
A recipe tells you what belongs in the product; a production standard also explains the order, equipment, time, temperature, checks, package, and expected result. Version control makes sure everyone follows the same approved method and protects the history of earlier batches.
Worked example
Example: Recipe version 3 uses 12 pounds of flour and a 20-minute rest. Version 4 changes the rest to 30 minutes. A batch made last Tuesday should always show version 3.
Editing the only copy of a recipe after a problem. That destroys the evidence needed to understand what the team was instructed to do at the time.
Two trained people can read the same version and describe the same materials, steps, checks, package, and expected output.
Put a version number and approval date on the recipe before scheduling the batch.
Multiplying every ingredient is a starting point, not proof that a larger batch will behave the same. A fuller mixer, larger pot, or different pan can change mixing, heating, cooling, evaporation, and timing. Test meaningful size increases before promising the output.
Scale changes the physical process, not just the ingredient total. Heat moves differently through a deeper product, mixer load changes friction, and cooling takes longer. A pilot lets you discover those effects before a customer order depends on the new size.
Worked example
Example: Doubling a sauce recipe doubles the ingredients, but the deeper pot may take longer to heat and may lose a different amount of water. Measure the final yield and quality before making that the new standard.

The larger batch repeatedly meets the same defined quality checks, produces a predictable yield, and fits the available labor and equipment time.
For a larger batch, write down what changed in the equipment, time, temperature, and result.
During the batch, record the ingredient lot numbers, amounts actually used, who did the work, start and finish times, required checks, good output, waste, and rework. If something goes wrong, record it honestly instead of changing the number to match the plan.
Planned values help people prepare; actual values explain inventory, cost, quality, and traceability. Recording exceptions honestly is essential because the exception often contains the lesson that prevents the next loss.
Worked example
Example: The plan called for 100 jars, but only 94 passed inspection and 3 more were reworked. Record 94 good, 3 rework, and the remaining loss with a short reason.
Changing an actual amount to match the plan or recording all checks at the end of the shift. The record may look tidy, but it no longer proves what happened.
The record accounts for materials and output, required checks are complete, and another person can understand every meaningful difference without asking the operator to remember it.
Finish the batch record while details are fresh, before inventory is updated or orders are packed.
Compare planned and actual yield, time, waste, and quality checks. One unusual result may only need a note. A repeated pattern—such as lower yield on one mixer or with one supplier lot—deserves investigation and possibly a carefully approved recipe or process update.
Variance is information. A single miss may be ordinary noise, while the same miss across several batches may reveal an equipment, supplier, training, or standard problem. Reviewing patterns turns records into improvement.
Worked example
Example: Three batches in a row lose two extra pounds during cooling. Check cooling time, room conditions, and equipment before quietly lowering the expected yield.
Averaging every result into a new standard immediately. This can normalize a preventable loss or hide a one-time equipment problem.
The team can name the largest repeated losses, the action being tested, and whether later batches show a real improvement.
Review repeated differences weekly and change the standard only when the evidence is consistent.
