Wholesale Line Sheet Template for Food, Candle and Skincare Brands

Create a buyer-ready wholesale line sheet with current products, images, SKUs, case packs, wholesale price, MSRP, minimums, lead time, terms, and ordering instructions.

A wholesale line sheet is a concise ordering document for retail buyers. It should make products, prices, pack sizes, minimums, availability, and terms easy to scan without forcing the buyer to extract order data from a consumer catalog.

What to put on the line sheet

Include the brand name, contact, ordering link or instructions, effective date, currency, and valid-through date. For every offered SKU, show:

  • a clear product image;
  • product name and SKU or style number;
  • size, scent, flavor, color, or other orderable variant;
  • wholesale price and suggested retail price when used;
  • units per case, inner packs, MOQ, and whether mixed cases are allowed;
  • barcode or GTIN when retail scanning applies;
  • shelf life or date expectations where commercially relevant; and
  • current availability or expected ship window.

Add opening-order minimum, reorder minimum, payment terms, lead time, shipping terms, territory or channel restrictions, damage/shortage reporting, returns policy, and contact details. Have contractual language reviewed appropriately.

Make sure the price works before publishing it

Calculate true unit cost, case packaging, pick-and-pack labor, commissions, payment fees, freight subsidy, samples, and expected allowances. Then test both sides of the transaction. The maker needs enough contribution to service the account, while the retailer needs room between wholesale cost and realistic selling price.

Example: a six-unit case at $8.50 wholesale per unit creates a $51 case value. If MSRP is $17, the buyer’s gross margin before its other costs is 50%. The maker must still test $8.50 against its own complete cost and order-level expenses. Neither percentage alone proves the deal is good.

Keep the document synchronized

A beautiful PDF becomes harmful when its prices, availability, or case packs are stale. Give the line sheet an effective date and revision. Generate it from authoritative product and price-tier records when possible, and retain the version sent with a quote.

Buyer-ready final check

Ask someone unfamiliar with the catalog to build an order using only the line sheet. If they cannot identify the orderable variant, case quantity, price, minimum, lead time, and ordering method, revise the document before outreach.

Buyer-ready product row example

Instead of listing “Vanilla Candle — $12,” give the buyer enough controlled information to place and merchandise the order: SKU, concise product name, one-line differentiator, net contents or dimensions, wholesale price, MSRP, case pack, case cost, shelf life where relevant, barcode status, lead time, and availability. Keep claims and required handling consistent with the approved product record.

For example, a $12 wholesale unit packed six per case has a $72 case cost. If the opening minimum is $300, the buyer needs a practical product mix that reaches the threshold without awkward broken cases.   • [ ] MSRP, wholesale price, case pack, and case cost reconcile mathematically.
  • [ ] Opening minimum, reorder minimum, lead time, payment, shipping, damage, and return terms are visible.
  • [ ] Contact details, order method, effective date, revision, and page numbers are present.
  • [ ] Retired products and stale prices cannot remain in an exported version unnoticed.
  • [ ] The version sent with a quote or order is retained.
